Canadian facility audits test whether your safety program operates as written. Driver files are sampled for licences, abstracts on schedule, training, discipline related to events, and hours-of-service support records. Prepare by reconciling your written program to the actual dates in each file, not by rewriting policies the week of the audit.
Reconcile policy to practice
If your safety program says “abstracts annually,” every active driver should show a pull within 12 months. If it says “winter training by November 1,” show completion dates. Auditors score the gap between paper policy and real files.

CVOR facility audits weigh on-road performance and facility controls together. Driver records that do not show follow-up after convictions or collisions undermine the facility score even when the PDF stack looks thick.
Dry run
Pick five drivers at random. Produce each file in under ten minutes. Note every missing abstract date, unsigned policy, or training gap. Fix those before the real notice arrives.
FAQ
Do electronic files count?
Yes when they are complete, readable, and promptly available. Scanned packets without dates or document types are still weak evidence. Electronic systems should export a coherent packet, not a zip of random filenames.
